Job Description

We are looking for a Junior Office Assistant to join one of the fastest growing igaming companies in Malta.

What you’ll be doing

The person would organize and coordinate administration duties and office procedures. Your role will need you to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Your responsibilities will include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, organizing travel arrangements, providing general administrative support to our employees, and supporting the HR manager.

Ultimately, you should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

This will start as a contractor position, and has the potential to move to a full-time employment as you prove yourself. Given the hands on nature of this position, this is a great way to gain work experience at a rapidly growing successful Gaming company. An amazing opportunity to get your feet in the Gaming world!

What will your responsibilities be?

  • You will be the point person for duties including: Maintenance, Mail, Supplies, Equipment, Bills, Errands, Shopping, etc.
  • Schedule meetings and appointments.
  • Organize the office layout and order stationery and equipment.
  • Maintain the office condition and arrange necessary repairs.
  • Work together with the HR Department  to update and maintain office policies as necessary.
  • Work together with the HR Department to organize office operations and procedures.
  • Coordinate with the IT department on all office equipment.
  • Ensure that all items are invoiced and paid on time.
  • Manage contracts and price negotiations with office vendors, service providers and office lease.
  • Manage office general and administrative budget, ensure accurate and timely reporting.
  • Provide general support to visitors.
  • Assist the HR manager in the on boarding process for new hires.
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements).
  • Liaise with facility management vendors, including cleaning, catering and office landlord.
  • Plan in-house or off-site activities, like parties, celebrations and conferences.
